Student Travel Procedure
This process pertains to all student travel, outside of Athletics, within Utah and out-of-state. This includes
- Participation at a conference
- Academic or club related competitions
- Class field trips
- Retreats
- Attending sporting events
- Other College or Class-related travel with SLCC students
The process for initiating a student travel request is identified below. All travel requests must be reviewed by the Thayne Center for budget, liability, and safety reasons. It is recommended that advisor's or faculty members work with their students to complete these steps.
INSTRUCTIONS
This process is time intensive. Give yourself plenty of time to gather the information and complete the templates prior to beginning this form.
Step 1: Timing to allow for routing and approval
- Out-of-state travel submit at least 45 business days in advance
- In-state travel submit at least 30 business days in advance
Step 2: Sign in to Campus Groups using your MySLCC login credentials.
Call the Thayne Center Coordinator, Business Operations at 801-957-3939 if you are unable to sign in.
Step 3: Once logged in to Campus Groups, download and complete the templates required for your trip. You will upload your version of the forms in the next step.
- List of travelers - required for all travel
- Travel budget - required for all travel
- Flight itinerary - required if using air transportation
- Ground itinerary - required if using ground transportation
- Lodging Information - required if using lodging
Funding sources must be verified with sufficient funds prior to approval.
Step 4: Advisors, faculty, and staff open and complete the Student Pre-Travel Approval Form. You will upload your version of the forms in this step.
Completing this form will require you to upload your completed templates, as applicable, for your travelStep 5: The Thayne Center Coordinator, Student Clubs and Organizations or the Thayne Center Coordinator, Business Operations will email you and your faculty/staff advisor a travel request update within 3 business days of your submission. Please call 801-957-3939 if you have not received an email in that time.
Step 6: No less than 10 business days prior to your trip all travelers must complete and submit the following for each traveler
